Prodesignr Technologies Limited ("Prodesignr", "we", "us") designs, builds and integrates AI agents for service businesses. We are a company registered in England and Wales, and we operate in the United Kingdom, the United Arab Emirates and India.

We are committed to protecting the privacy of everyone who visits our website, contacts us or uses our services. This policy explains how we collect, use, share and protect personal data in line with the UK General Data Protection Regulation, the Data Protection Act 2018 and, where it applies, the EU General Data Protection Regulation (together, "GDPR").

2. The data we collect

We collect personal data when you visit our website, contact us, book a demo or become a client. Depending on how you interact with us, this may include:

Contact and business details

When you complete our book a demo form or email us, we collect your name, business name, email address, phone number, industry and anything you choose to tell us about your business, systems or enquiries.

Calls and messages with our demonstration agent

Our website invites you to call our AI voice agent to hear how it works. When you do, we collect the phone number you call from and the content of the conversation, including anything you say to the agent and any booking details you give it. Calls may be recorded and transcribed so that the agent can complete the booking and so that we can review and improve its performance.

Client and contract information

If your business becomes a client, we collect the details needed to deliver the service and run the contract: names and contact details of your staff, billing and payment information, and information about the systems we integrate with. Payment details are handled by our payment provider and we do not store full card numbers.

Usage data and cookies

When you browse our website we may collect technical information such as your IP address, browser type, device, the pages you visit and how you arrived at the site. Some of this is collected through cookies, which we only set with your consent except where strictly necessary. See our Cookie Policy.

Correspondence and feedback

We keep a record of any correspondence, feedback or support requests you send us.

3. Why we use it

We process your personal data for the following purposes:

1. To respond to enquiries and arrange demos. When you ask for a demo we use your details to reply, schedule a time and prepare a demonstration relevant to your business.
2. To provide and improve our services. We use client data to design, build, integrate, test, support and improve the agents we deliver, and to manage our relationship with you.
3. To run and improve our demonstration agent. Call recordings and transcripts are reviewed so we can correct errors and improve how the agent handles conversations.
4. To run our business. This includes invoicing, accounting, record keeping and complying with legal and regulatory obligations such as tax law.
5. To keep our website and systems secure. Technical data helps us detect fraud, abuse and security incidents.
6. For marketing, where permitted. We may contact existing clients and people who have enquired about relevant services. You can opt out at any time by using the unsubscribe link in any email or by contacting us. We only use marketing and analytics cookies if you have consented to them.

4. Our lawful basis

GDPR requires us to have a lawful basis for each use of your personal data. We rely on:

• Contract — where processing is necessary to take steps at your request before entering a contract (for example arranging a demo you asked for) or to perform a contract with you.
• Legitimate interests — where processing is necessary for our legitimate business interests and those interests are not overridden by your rights. This covers responding to enquiries, improving our services and demonstration agent, securing our systems and direct marketing to business contacts. You can object to processing on this basis at any time.
• Consent — for analytics and marketing cookies, and for any marketing communications where consent is required. You can withdraw consent at any time without affecting processing carried out before you withdrew it.
• Legal obligation — where we must process data to comply with the law, such as keeping financial records or responding to lawful requests from authorities.

5. When we run agents for our clients

The agents we build answer calls, website chat and emails on behalf of our clients — for example a dental practice, a law firm or a letting agent. When you speak to one of those agents, the client you are contacting is the data controller for that conversation and their privacy notice applies. Prodesignr acts as a data processor, handling that data only on the client's documented instructions and under a written Data Processing Agreement that meets the requirements of Article 28 GDPR.

If you have contacted a business that uses a Prodesignr agent and want to exercise your data protection rights in relation to that conversation, please contact that business directly. We will assist them in responding to you.

6. Who we share data with

We do not sell personal data. We share it only where necessary with:

• Service providers who help us run our business and deliver our services, such as cloud hosting, telephony, AI model providers, email, calendar and CRM tools, and accounting and payment services. They act on our instructions under contracts that require them to protect your data.
• Professional advisers such as accountants, lawyers and insurers, where needed.
• Authorities and regulators where required by law or to protect our legal rights.
• A buyer or successor in the event that we sell, merge or reorganise our business, subject to the same protections.

7. International transfers

Because we operate in the United Kingdom, the UAE and India, and use service providers based in other countries, your personal data may be transferred to and processed outside the United Kingdom and the European Economic Area. Where we do this, we make sure the transfer is protected by an appropriate safeguard, such as a UK adequacy regulation or EU adequacy decision, the UK International Data Transfer Agreement or Addendum, or the EU Standard Contractual Clauses, together with any additional measures that are needed. 8. Cookies

Our website uses a small number of cookies and similar technologies. Strictly necessary cookies are always on. Analytics and marketing cookies are only set if you choose to allow them, and you can change your choice at any time using the "Cookie settings" link in the footer of every page. 9. How long we keep data

We keep personal data only for as long as we need it for the purposes described above, unless a longer period is required or permitted by law. As a guide:

No system is completely secure. If we become aware of a personal data breach that is likely to result in a risk to you, we will notify you and the relevant supervisory authority as required by law.

11. Your rights

Under GDPR you have the right to:

1. Access — request a copy of the personal data we hold about you.
2. Rectification — ask us to correct inaccurate or incomplete data.
3. Erasure — ask us to delete your data in certain circumstances, for example where it is no longer needed for the purpose it was collected.
4. Restriction — ask us to limit how we use your data while a query or objection is resolved.
5. Objection — object to processing based on our legitimate interests, and to direct marketing at any time.
6. Portability — receive the data you gave us in a structured, machine-readable format and have it transferred to another provider where technically feasible.
7. Withdraw consent — where we rely on consent, withdraw it at any time.
8. Automated decisions — not to be subject to a decision based solely on automated processing that has legal or similarly significant effects on you. Our agents book appointments and answer routine requests; they do not make decisions of that kind about you.

To exercise any of these rights, email admin@prodesignr.ltd. We will respond within one month, and may ask you to verify your identity first. There is normally no charge.

You also have the right to complain to a supervisory authority. In the UK this is the Information Commissioner's Office (ico.org.uk, 0303 123 1113). We would appreciate the chance to resolve your concern first, so please contact us before doing so.

12. Children

Our website and services are directed at businesses. We do not knowingly collect personal data from anyone under 18. If you believe a child has provided us with personal data, please contact us and we will delete it.

13. Changes to this policy

We may update this policy from time to time, for example when we introduce new services or tools. We will publish the new version on this page and update the "last updated" date at the top. Where a change is significant we will take reasonable steps to bring it to your attention.
